Sometimes members have to cancel. If you have to cancel from an overnight bus trip that you have registered for, here are the procedures to follow to obtain a refund. 

CANCELLATION AND REFUND POLICY FOR 2021 OVERNIGHT TRIPS

Cancellation Procedures

If a member wishes to cancel an overnight trip, they must notify the trip supervisor immediately in writing (ie by email, not by telephone). Members must obtain written confirmation (ie by email, not by telephone) from the supervisor that notice of cancellation was received within the applicable time. Only the supervisor may determine a replacement for the cancelled room. Those on the waiting list will be contacted to fill the vacated seat first before any others.

A cancelling member cannot simply swap places with another member. The cancelling member will be given a refund according to the refund policy below and the replacing member will register on the website.


Refund Policy

A. Cancellation up to 31 days before trip departure date. Refund of amount paid less $100.00 non-refundable deposit.

B. For W1-W5, cancellation between 31 days and 8 days before departure date. Refund of amount paid less $200.00 non-refundable deposit. Where one member from a double occupancy room cancels but the other does not, and a replacement is not found, the refund amount will be adjusted to cover the cost of a single occupancy room. For a triple occupancy room, the refund amount will be adjusted to cover the cost of the remaining two person room.

C. For W6, cancellation between 31 and 3 days before departure date. Refund of amount paid less $100.00 non-refundable deposit. Where one member from a double occupancy room cancels but the other does not, and a replacement is not found, the refund amount will be adjusted to cover the cost of a single occupancy room.

D. For W1-W5, cancellation 7 days (7x24h = 168 hours) or less before 12:01 AM of departure date. There is no refund.
For W6, cancellation 3 days or less before 12:01 AM of departure date. There is no refund.
This means that within 7 days of departure, or within 3 days for W6, you are not eligible for a refund. Regardless of whether you are replaced or not, there is no refund of any amount. Please read this paragraph carefully!

E. Any unused accommodation, lift tickets, meals, transportation and any other part of the trip package are not deductible and not refundable.

Refunds are made back to the credit card used for payment. Refunds take approx 3 weeks after your cancellation but the time depends on how quickly your own bank processes it.

Conditions

HPSC reserves the right to cancel a trip, or refuse a trip application from any person. HPSC does not guarantee snow conditions at any destination at any time.

Members are responsible for arranging their own trip cancellation insurance and medical insurance. All insurance claims must be made by the participant to their own insurance company, HPSC cannot do this for you. HPSC will provide any receipts that you require to support a claim. We strongly recommend that you have travel insurance.
