Sign Up Procedures for 2021 Long Trips

2021 Charter Trips and Overnight Trips

First, and most importantly, don't sign up frivolously. Sign up because you want to go on the trip. Your $200 deposit is non-refundable. 

Sign Up for C5 Whistler (early bird price)

Registration for C5 Whistler 2021 will open: Tue Sep 1, 2020 to take advantage of early bird price. 

Trip Sign Up #1 for Europe Trip

Online registration for C6 St Moritz Club Med 2021 will open: Wed Sep 30, 2020 at 8:00 PM.

Trip Sign Up #2 for Charter Trips

Online registration for remaining charter trips will open: Thurs Oct 15, 2020 at 8:00 PM.

Trip Sign Up #3 for Overnight Trips

Online registration for all overnight trips will open: Thurs Oct 29, 2020 at 8:00 PM.

Here is How Online Registration Works:

  1. The procedure is different this year. Due to the pandemic, HPSC will not be assigning roommates on this year’s trips. If you do not have a pre-arranged roommate, you will be required to pay the single room supplement. Therefore when you register, you are booking a room. And because you are booking a room and not one seat, the non-refundable deposit this year is $200. If you have a roommate, register your roommate at the same time by entering their name on the registration page. Your roommate does not have to register separately and pay the deposit. However if you do both register, the extra fees will be deducted from your final payment. If you do not have a roommate, you will register as a single and pay the single room supplement.
  2. To be eligible to register you must join the club and pay the membership fee for the current season. Do this well before registration night as it will take several days for your membership to be approved. 
  3. Registration for any charter or overnight trip requires that you have read, understood and will comply with the Long Trips Member Policies
  4. Registration will open at 8:00 PM EDT on the dates specified. Login with your password to www.hpsc.ca and navigate to Our Trips > Overnight Trips 2021 or Charter Trips 2021 > scroll down and click on the trip of your choice.
  5. Click on " Register " button, follow the prompts and complete payment of a $200 non-refundable deposit.
  6. The $200 non-refundable deposit secures your seat and room on the trip. The deposit amount will be applied toward the cost of the trip. For charter trips you will deduct this amount from the final payment, not the initial deposit to the tour operator.
  7. Once you have registered and paid your $200 non-refundable deposit, your place on that trip is held for you. The deposit is for that particular trip only and is not a credit on your account to switch to any other trip. The following day you will complete Stage-2 of the registration process.
  8. You can register for as many trips as you like as long as they are not “Sold Out”.
  9. If you register another member as your roommate, you will type their name in the field on the registration page. For a single room, type in, "Single". Your roommate does not have to register, their place is held by your deposit. Your roommate will be contacted by the trip supervisor.
  10. If you register another member as your roommate, your deposit amount of $200 applies to the cost of the room. You and the other member must work out the cost sharing arrangement. HPSC will not do this for you.
  11. After you have registered, the trip supervisor will email you and your roommate to login and register on Trip XX Stage-2 Registration Completion page. To locate this page, navigate to OUR TRIPS > MY LONG TRIPS, scroll down and click on Trip XX Stage-2 Registration Completion. This page can only be seen by members who are registered.
  12. Click on " Register ", chose the options and enter other required data. You must complete Stage-2 within 48 hours after receiving the email or you will lose your room and forfeit your deposit. Reread the last sentence, it is important.

(1) Charter Trips

You will pay for your charter trip by credit card (Visa & MC accepted). Cheques are not accepted. A credit card payment authorization form will be emailed to you by the trip supervisor. They will also send instructions on where to mail or email your completed credit card payment form. Do not mail it to the clubhouse! If you wish to delivery the form in person, you will have to make arrangements with the trip supervisor.

The trip supervisor will forward the credit card payment form to the tour operator. The tour operator will charge the trip deposit amount at that time, and then charge the final balance (less the $200 non-refundable deposit) on the due date for that trip (see description for specific amounts and final payment date).

(2) Overnight Trips

You will complete payment of the balance by credit card on the secure website (Visa & MC accepted). Cheques are not accepted.

13. When a trip is sold out a " Join waitlist " button appears. There is no deposit amount required to join the waitlist. (The webpage may seem confusing but absolutely no deposit is required.) The waitlist is kept in order of signing up and the trip supervisor will email you when or if space becomes available. Cancellations do occur and those on the waitlist will be contacted when that happens.

14. Due to the pandemic, HPSC will not be assigning roommates on this year’s trips. If you do not have a pre-arranged roommate, you will be required to pay the single room supplement.


Sign Up Procedures - after Oct 29, 2020

Non Members

We welcome non-member’s enquiries about our long trips program at any time. Non-members wanting information can email, longtrips@hpsc.ca. Note: You must become a HPSC member in order to participate in our overnight and charter trips.

Members

Members can sign up for an overnight trip or charter trip by clicking on the " Register " button beside the trip description. Follow the prompts and pay the $200 non-refundable deposit required.
