Sign Up Procedures for 2025 Long Trips

2025 Charter Trips and Overnight Trips

First, and most importantly, don't sign up frivolously. Sign up because you want to go on the trip. Your $100 deposit is non-refundable.

Dates below are when trips go on sale for the first time. You can sign up any time after that since all trips will remain on sale until they sell out. If you see a Waitlist button go ahead and add your name. At an early time it is difficult to judge demand but we can try to get an additional space for you.

    Trip Sign Up #4 for Overnight Bus Trips

    Here is How Online Registration Works:

    1. To be eligible to register you must join the club and pay the membership fee for the current season. Do this well before registration night as it will take several days for your membership application to be approved. For Trip Sign Up #1 your 2024 membership will still be valid but you must renew by September 15 in order to maintain your spot on the trip, or you will forfeit any deposits.
    2. For all trips, members must adhere to COVID or other health guidelines for the destination country.  For all international trips, you must have a valid passport. 
    3. Registration for any charter or overnight trip requires that you have read, understood and will comply with the Long Trips Member Policies
    4. Registration will open at 8:00 PM EDT on the dates specified. Login to www.hpsc.ca with your email address + password, and navigate to OUR TRIPS > CHARTER TRIPS 2025 or OVERNIGHT TRIPS 2025 > scroll down and click on the trip of your choice.
    5. Click on the "Register" button, follow the prompts and complete payment of a $100 non-refundable deposit.
    6. The $100 non-refundable deposit secures your seat on the trip. The deposit amount will be applied toward the cost of the trip. For charter trips you will deduct this amount from the final payment, not the initial deposit to the tour operator.
    7. Once you have registered and paid your $100 non-refundable deposit, your place on that trip is held for you. The deposit is for that particular trip only and is not a credit on your account to switch to any other trip. A few days afterward, you'll get an email from the trip manager about completing Stage-2 of the registration process.
    8. You can register for as many trips as you like as long as they are not “Sold Out”.
    9. If you have a pre-arranged roommate, you may register your roommate at the same time by entering "1" in the Guest field on the registration page and paying their $100 non-refundable deposit as well as your own $100 deposit for a total deposit of $200. If you do not have a pre-arranged roommate, we will try our very best to match you with another same-gender single if available. In the unlikely event we cannot find a roommate for you, you have the option of requesting a single hotel room and paying the single room charge, or accepting a full refund.
    10. If you register another member as your pre-assigned roommate, your roommate does not have to register because their place is held by your $100 deposit on their behalf. After you have made your payment, immediately email the trip manager with the member's name. Your roommate will be contacted to complete the registration process.
    11. If you register another member as your pre-assigned roommate, your deposit amount will be $200. The deposit will be applied toward the cost of each seat (ie: 2 x $100). You and the other member must work out the cost sharing arrangement. HPSC will not do this for you.
    12. After you are registered, the trip manager will email you and your roommate to login and register on Trip XX Stage-2 Registration completion page. To locate this page click on MY LONG TRIPS button, scroll down and click on Trip XX Stage-2 Registration. This page can only be seen by members on that trip.
    13. Click on the "Register" button, choose the options and enter other required data. You must complete Stage-2 within 48 hours after receiving the email or you will lose your space and forfeit your deposit. Reread the last sentence, it is important.

    13.1 Charter Trips

    You will pay for your charter trip by credit card (Visa/MC/Amex). Cheques are not accepted. The trip manager will email you the instructions for using on the online payment portal controlled by the tour operator. Your first payment will be the deposit amount required by the tour operator, as specified in the detailed trip description.

    The final balance (less the $100 non-refundable deposit) will be charged to your credit card on the due date for that trip (see description for specific amounts and final payment date).

    In some instances, a tour operator payment portal may not be available. In that case a credit card payment authorization form will be emailed to you by the trip manager. This will include instructions on where to mail or email your completed credit card payment form. Do not mail it to the clubhouse. If you wish to deliver the form in person, you will have to make arrangements with the trip manager. The trip manager will forward the credit card payment form to the tour operator. The tour operator will charge the trip deposit amount at that time, and then charge the final balance (less the $100 non-refundable deposit) on the due date for that trip.

    13.2 Overnight Trips

    You will pay the balance by credit card on HPSC's secure website (Visa/MC/Amex). Cheques are not accepted.

    14. When a trip is sold out a "Join Waitlist" button appears. There is no deposit amount required to join the waitlist. (The webpage may seem confusing but absolutely no deposit is required.) The waitlist is kept in order of signing up and the trip manager will email you when or if space becomes available. Cancellations do occur and those on the waitlist will be contacted when that happens.

    15. HPSC cannot guarantee that we will be able to find a same gender roommate, especially for late registrants. If a roommate cannot be found for you, you will be offered the option to pay the single room charge, or withdraw from the trip and accept a full refund.


    Sign Up Procedures - after Oct 31, 2024

    Non Members

    We welcome non-member’s enquiries about our long trips program at any time. Non-members wanting information can email, longtrips@hpsc.ca. Note: In order to participate in any overnight and charter trip you must become a HPSC member for the current season.

    Members

    Members can sign up for an overnight trip or charter trip by clicking on the "Register" button for that trip. Follow the prompts and pay the $100 non-refundable deposit required. The deposit amount will be applied toward the cost of your trip. When a trip is sold out a "Join waitlist" button appears. There is no deposit amount required to join the waitlist. (The webpage may seem confusing but absolutely no deposit is required.) The waitlist is kept in order of signing up and the trip manager will email you when seats becomes available. Cancellations do occur and those on the waitlist will be contacted when that happens.

    (1) Charter Trips

    You will pay for your charter trip by credit card (Visa/MC/Amex). Cheques are not accepted. See procedures above.

    (2) Overnight Trips

    Overnight trips are paid by credit card on HPSC's secure website (Visa/MC/Amex). When the overnight trip is arranged through a tour operator, members will pay the fees directly to the tour operator. Cheques are not accepted.

    Don't sign up frivolously, sign up because you want to go on the trip. Your $100 deposit is non-refundable.
